Electronic Submission of IRB Applications

Using IRBWise

All applications to IRB are made through IRBWise. This system enables completely electronic on-line submission and monitoring of human subject research applications, renewals, amendments, and adverse events notification, as well as supporting documents (e.g. informed consent forms, surveys, questionnaires). The system allows for the electronic routing of applications for signatures. Protocol information is stored in a secure database for tracking and management, and is accessible to appropriate users only (including the PI). There are also automatic protocol expiration warnings via email to PIs.

If I Am A Faculty, How Do I Submit An IRB Application?

To use IRBWise you will first need a username and password. Your user name is your campus ID. Your password, which is encrypted in the system, is your social security number. (without the dashes). However, if you are a new faculty member, having come to GSU after October 18, 2004 , please contact Shelia White at (404) 413-3514 or email at swhite32@gsu.edu for access.

At the end of this section you will see the link that will take you directly to the sign-in page for IRBWise. Once you click that link you will be asked for your username and password. The system will prompt you to change your password before proceeding any further.

You will be taken to your "Home" page. On this page, you will see your "Alerts" and your "My Protocols". It is also on this page that you will find the option to "Submit New Protocol".

You will find the option of "Submit New Protocol" in the dropdown menu of the "Tasks" box in the upper right hand corner of the screen. Once you choose "Submit New Protocol", you will be taken to the IRB application.

The following are items you should know about the IRB process and submitting the application.

  • First, you are required to complete the Protection for Human Subjects Training Modules. If you have not already done so, please go to the Required Education page for instructions.
  • On the IRB application, you will see several sections with the word "required". These sections must be completed in order for the system to allow your application to be properly submitted. If a section is not applicable, answer it as N/A. Do not leave it unanswered.
  • "Lastly, remember to upload all of your required documents. These include consent form (s), study protocol, dissertation, any advertisements, all survey instruments, interview instruments, etc., which you should create on your computer. If your research is funded, you will also need to upload your grant.

Please Note: Once you have completed all sections of the IRB application, and you are ready to submit, you must first forward the IRB application to your Chair, Dean, or Director for sign-off. Who you send the IRB application to for sign-off is dependent upon the organization of your department. Your Chair, Dean, or Director will submit the application to the IRB after they have signed-off. Do not submit your application directly to the IRB. If you do so, it will be returned to you with instructions to forward to your Chair, Dean or Director for sign-off.

Always be sure to check the status of your protocol in the 'Hisory' section of the application.

If I Am A Student or Staff, How Do I Submit An IRB Application?

You may login to IRBWise using your Account. In order to create an account, you must contact Shelia White at (404) 413-3514 or email at swhite32@gsu.edu

If you are a student, you should enter your faculty advisor as the "Principal Investigator" (PI), and list yourself as the "Student PI".

How Do I Submit A Renewal?

When your study is about to expire, you will receive an email from our office approximately 30 day out reminding you to submit your Renewal.

There are two ways to submit a Renewal

1. You may access your study through the link at the bottom of the email notification you receive from our office. Once you click on the link you will be asked for your username and password. You may login to IRBWISE using your "Account". For assistance with your "Account", please contact Shelia White at (404) 413-3514 or email at swhite32@gsu.edu

After you enter your username and password, you will be taken to your study. To renew your application, you should select "Request Renewal" from the drop down menu of the "Tasks" box in the upper right hand corner of the screen. Once you do this, you will see the Renewal Form.

2. If you are submitting a Renewal through your "My Protocols" page, you will simply need to find the study in your list, click on it and once inside your protocol choose from the "Tasks" drop down menu the option of "Request Renewal". The appropriate screen will open.

Important Items To Remember:

  • Please be sure to complete all sections of the application.
  • If you have completed your study and would like to close it, you must still complete the form and submit it as the final report (study closure form).
  • If your research study is ongoing, you must upload the consent form (s), advertisement, survey instruments, interview instruments, etc. that you wish to use in the upcoming approval period.

How Do I Submit An Amendment?

When you wish to change anything on your IRB approved study you must first submit an amendment to the IRB for review and approval prior to implementation of the change. To modify an existing protocol, click on the IRBWise link either at the end of this section. You will need your username and password to enter.

In order to submit an amendment on your study you will need to find your study in the "My Protocols" list. Once you see the study you wish to amend, simply click on it. You will be taken to the application. From the "Tasks" drop down menu, you will need to choose "Request Amendment". The appropriate screen will appear will open.

If You Are Adding Personnel: All personnel must complete the Protection for Human Subjects Training Module. Approval will not be issued until the requirement for training has been satisfied. Please go to the Required Education page for instruction on how to complete this training.

Important items to remember when submitting an amendment:

  • Please answer all applicable sections of the form.
  • You must include a justification for the amendment.
  • You must upload all documents that accompany the amendment, i.e. consent forms, advertisements, etc.
