How do I set up a user account?

Contact the Human Resources Advisory Committee member for their area or the Recruitment and Retention Office at 404-413-3270.

Where is the spreadsheet that grants access to the system?

The Departmental Request for Access to GSU PPRTS will be added to the Staff Recruitment and Retention website under “Managers and Supervisors.”

Who is responsible for establishing the workflow for our areas?

Every area/division/college should work with their Human Resources Advisory Committee Representative and/or the Unit Coordinator to establish the appropriate workflow for their departments. Please keep in mind that the workflow for the automated system should reflect the workflow that is in place now for your area. Any workflow requests that are submitted to our office without the prior approval of the HRAC Rep/Unit Coordinator will be returned to the requestor.

How will I be notified that my actions have been completed and referred to the next level of approval?

You will receive an e-mail from jobs@gsu.edu each time you confirm and send an action. The email will state which level of authority and/or office must take the next action to complete the posting through hiring approval.

What is the purpose of the ‘Guest User’ account?

You can set up a ‘Guest User’ account to grant temporary access to applications for a specific vacancy. This type of user can be used for search committees or others who would not normally have access to your department.

How do I complete the final paperwork to hire a candidate?

You can attach the Position Review Form (PRF), Interview Evaluation Form, Salary Justification (when necessary) and the Candidate Recommendation Form (CRF) under the ‘Documents’ area. You can scan the form into a file, cut and paste the text or you can simply attach a Word document. For the CRF, you can enter electronic signatures by typing in the appropriate names.

Will the departments be able to view all applications?

The Office of Staff Recruitment and Retention will continue to screen all applications for the Minimum Hiring Standards, which includes screening for requested materials. We are in the process of determining a feasible turn-around time while we are operating under two application systems (the new system and the old system). Once all positions have been filled or canceled from the previous system, the turn-around time for available applications will decreased.

What is the purpose of ‘Questions’ when completing a requisition?

You may wish to ask job specific questions that will help you assess the candidate’s strengths in relation to the qualifications listed for the position. Questions should be job related. You can choose open or closed ended questions. The Employment Office will gladly assist you with creating appropriate, job-related questions.
