
All residence halls will close for the semester on May 8, 2013. All residents are required to vacate their residence halls twenty-four hours after their last exam or by Noon on May 8, 2013, whichever comes first. All doors will be locked and card access will be disabled at this time. University Housing staff members will be entering resident’s rooms to ensure that residents have followed all spring closing guidelines.
*Please Note: The only individuals who are allowed to remain in the residence halls after May 8, 2013 are: graduating seniors, summer residents, University Housing Staff, and residents who have been granted an extension by University Housing. All residents (including Graduating Seniors) must request an extension by April 25, 2013 in order to receive approval to remain in the halls after May 8, 2013. Residents who have not vacted their hall twenty-four hours after their last exam or by Noon on May 8, 2013, whichever comes first, will be assessed a late stay fee of $60.00.
Closing Agreement:
All residents are expected to complete a cleaning agreement for the room, apartment, and/or floor/house (Greek Housing residents) that they occupy by April 25, 2013. The cleaning agreement outlines who is responsible for cleaning each area of the room, apartment, and/or floor/house (Greek Housing residents). All residents are expected to sign the cleaning agreement. By failing to sign the cleaning agreement, the resident waives their right to contest any cleaning charges they may incur. Failure to properly clean each living space may result in a cleaning charge.

Request for Extensions Past Ma 8:
For Housing to reasonably meet the request of residents who need to stay late, all residents approved to stay late will need to move to floors 5-8 of University Commons Hall D. Residents must request an extension from their Residence Hall Director (RHD) by April 25, 2013 5 p.m. in order to receive approval to remain in the halls after May 8, 2013. Extension request forms can be found at resident’s community desk. The only individuals who are allowed to request an extension and remain in the residence halls after May 8 are graduating seniors, residents with an assigned room for Maymester, University Housing Staff, and residents who have been granted an extension by University Housing. All approved late-stays will remain in their Spring 2013 assignment until 3 p.m. on Wednesday, May 8 . Late-stays will move into their late-stay assignment between 3 p.m. and 5 p.m. on Wednesday, May 8 and must completely vacate their Spring 2013 assignment by 5 p.m.. Late stay residents will receive their late stay room assignment upon arrival to the University Commons community desk during late stay move in. All late stay residents (except Maymester residents) must move out by 9 a.m. on Sunday, May 12. Late-stay residents with Maymester housing will move into their Maymester assignment on Sunday, May 12 (they will receive further information from the summer Hall Directors prior to late-stay check-in on May 8). If a resident is approved to stay late but needs to stay past May 12 9 a.m., they will need to apply to stay in Maymester housing. Only residents who have filled out an extension form and have been approved will be allowed to stay after May 8 and will receive an email from the Residence Hall Director of their community. If you need additional late stay information please see your Residence Hall Director.
** The custodial and facilities staff will diligently be working to quickly turnaround apartments used during Spring 2013 for Maymester residents and Conference guest. All late-stay housing assignments will undergo a baseline cleaning. Residents who wish to stay late will need to move to the University Commons Hall D at 3 p.m. and out of their Spring assignment by 5 p.m. May 8 2013 (complete details can be found on the Move-Out Extention Request Form).
For the Graduating Seniors
May 11: University Commencement
May 12 Graduating Seniors must depart prior to 9 a.m.
If residents are a graduating senior and will not be staying past noon on May 8th, 2013, residents can follow the check routine listed below. After May 8th, 2013 at noon all residents who have been approved will be required to check out at the community desk of their assigned residence hall.

There are two check-out options, outlined in the subsequent pages, that residents may utilize: Community Desk Check-Out or Centralized Check-Out. Resident’s RA will conduct a mandatory floor meeting to discuss these options and resident’s responsibilities related to closing:
There will be a centralized check out location in each of the residence halls (See RA for more details).
Be sure to vacuum the carpet, sweep the floor, and empty all trash cans. Failure to do so may result in fines.

Community Desk Check-Out
For the purposes of Spring Closing, community desk check out will be conducted during the hours in which Centralized Checkout is NOT available.

May 1, 2, 3, 6, 7, 2013 between the hours of 10 a.m. – 8 p.m.
May 4, 5, 2013 between the hours of 11a.m.-5 p.m.
May 8, 2013 between the hours of 8 a.m.-noon
Cleaning Reccomendations
To avoid a possible charge for cleaning after check-out, residents are highly encouraged to follow the recommendations outlined below:
Furnishings: Empty and clean all closets and drawers
Floors: Sweep and/or vacuum the room. Do not sweep anything into the hallway.
Hallways: Do not place trash, wood, or furniture of any kind in hallways or common areas
Walls: Clean marks off wall and remove all posters, nails, and tape
Doors: Remove all decorations, both inside and out; remove tape and staples; clean all writing/marks off door
Windows: Close and lock windows; remove any decorations from windows.
Some Conditions Which May Result In Assessment Of Damages Include but are Not Limited To:
Parking:
The Commons Parking Garage, Piedmont North, and Lofts parking garage will be open from 8 a.m. to 8 p.m. April 29-May 8. Cars will need to simply pull up to the gate and it will open to let them in. Cars without the appropriate permit will need to vacate these parking lots prior to the time the lot closes or run the risk of being ticketed or towed. If residents or parents are parking outside of the times the parking garage will be open, they need to make sure that they are parked in a designated parking spot or they will be ticketed or towed.
Forwarding Address:
Residents do not need to fill out a forwarding address form with the mail room if residents do not receive mail at Georgia State University. The U.S. Postal Service will not forward resident’s mail. Please do not fill out a change of address card with the U.S. Postal Service--- it will not be processed! Only the housing mail room staff can forward resident mail. We urge residents to inform creditors, newspaper/magazine subscribers, and all other senders of resident’s mail that the resident has a new address. Mail will be forwarded for 30 days. After 30 days, mail will be returned to the sender. We cannot forward packages – all packages will be returned to the sender.
Appeals Process:
Charges for damages will be posted to the resident’s account no later than May 24, 2013. Residents are provided two weeks to contest any closing charges or charges from the 2012/2013 school year. Residents will need to submit an appeal no later than June 7, 2013 EDT; no appeals will be accepted for review after the June 7 deadline. Spring 2013 Move-In
Students new to University Housing will be able to move into their room assignment on Friday, January 11, 2013 at 9 a.m. Students will check in at the community desk of their assigned residence hall. Students have until the first day of classes on Monday, January 14, 9 a.m. to check into their residence hall assignment before being considered a no show.
